How to prepare your file for a bulk search

The file format, columns and size that give the best results in the Email Finder, Phone Finder and Email Verifier.

Written by Thomas Lucy

Use a CSV, XLS or XLSX file with column names in the first row and one kind of information per column. For emails, give each person's name and company. For phone numbers, give their LinkedIn profile URL. To verify emails, give the addresses.

File format

  • CSV, XLS or XLSX. Other formats, such as Apple Numbers files, are not accepted: export them to CSV or XLSX first. From Google Sheets, use File > Download.

  • Column names in the first row. Each column needs a name, such as "First Name" or "Company Domain". Your contacts start on the second row.

  • One contact per row.

  • In an Excel file, put your contacts in the first sheet. Only the first sheet is read.

Columns for each tool

Email Finder

  • The person's name: one Full name column, or a First name column and a Last name column.

  • Their company: a Company Domain column (for example, acme.com) or a Company name column. The domain gives better results.

  • Optional: a column of LinkedIn profile URLs, if you also want phone numbers (see How to find emails and phone numbers in the same file).

Phone Finder

  • A column of LinkedIn profile URLs (linkedin.com/in/… or Sales Navigator profile URLs).

Email Verifier

  • A column of email addresses.

Your file can have other columns, such as a CRM ID or a city. They stay in your enriched file.

Column names that Enrow detects

When you upload a file, Enrow matches your columns to its fields on its own when they have a usual name. For example:

  • First name: firstname, first_name, first-name, first name

  • Last name: lastname, last_name, last-name, last name

  • Company name: company name, company, business name, company_name

  • Company domain: company domain, domain, company website, company url, company_domain

The names used in the example files (First Name, Last Name, Company Domain, Company Name, LinkedIn Profile URL, Email) are detected too. If a column is not detected, simply choose it from the list on the import screen.

Keep your data clean

  • One kind of information per column. Don't mix domains and company names in the same column.

  • Put each column in the right field. A website or domain column goes in Company Domain, not in Company name. A LinkedIn URL never goes in a company field.

  • Clean the names. Remove titles (Dr., Mr.), degrees (MBA, PhD), emojis and job titles.

  • Use the company the person works for today, not a former employer or a parent company.

  • One country per file when you search by company name. On the import screen, Main prospect country helps Enrow find the right domain for each company. If your prospects are in several countries, split your file by country. If you don't, choose the country where most of them are.

  • Remove long columns you don't need, such as profile summaries or company descriptions. Your file uploads, runs and downloads faster.

When you import your file, Enrow checks your columns. If it says that some values don't look like valid domains, names, LinkedIn URLs or email addresses, check your columns before you start.

File size

There is no strict limit. For the Email Finder and the Phone Finder, we recommend files of 20,000 rows at most, ideally 5,000 to 10,000. The Email Verifier handles larger files.

Duplicate rows

On the import screen, Delete duplicate rows is checked by default. Enrow then searches each contact only once:

  • Email Finder: rows with the same name and the same company.

  • Phone Finder: rows with the same LinkedIn URL.

  • Email Verifier: rows with the same email address.

This is why your enriched file can have fewer rows than your original file.
